Job Description (JD) – HR Executive
Position: HR Executive
Department: Human Resources & Administration
Reporting To: HR Manager
Location: Office-Based, Noida, Sector 57
Employment Type: Full-Time
Job Summary
We are looking for a dedicated and responsible HR Executive who will manage the complete
HR operations along with general office administration responsibilities. The candidate will be
responsible for recruitment, hiring, employee onboarding, attendance management, employee
relations, exit formalities, and smooth day-to-day office coordination.
The ideal candidate should have strong communication skills, good coordination ability, and the
capability to handle both HR and administrative tasks efficiently.
Key Responsibilities
1. Recruitment & Hiring
● Handle end-to-end recruitment process for all departments
● Coordinate with consultancy agencies and job portals for candidate sourcing
● Screen resumes and shortlist suitable candidates
● Schedule interviews (virtual and face-to-face)
● Coordinate with department heads for interview feedback
● Prepare offer letters and appointment letters
● Follow up with selected candidates for joining formalities
● Maintain recruitment tracker and hiring status reports
● Ensure timely closure of open positions
2. Employee Onboarding
● Conduct joining formalities for new employees
● Collect and verify employee documents
● Prepare employee files and maintain records
● Explain company policies, rules, and HR procedures
● Coordinate induction and orientation sessions
● Create employee ID records and HR system entries
● Coordinate with IT/Admin for workstation readiness
3. Attendance & Leave Management
● Monitor daily attendance through HR ONE/attendance system
● Handle leave applications and approvals coordination
● Maintain attendance records and monthly reports
● Follow up for missing attendance entries
● Coordinate with payroll team for attendance inputs
● Resolve employee attendance-related issues
4. Employee Relations
● Maintain positive employee relations and workplace discipline
● Address employee concerns and escalate when required
● Ensure compliance with company policies
● Support employee engagement activities
● Maintain confidentiality of employee information
● Handle employee warnings, notices, and disciplinary documentation
5. Exit Management
● Handle resignation acceptance and documentation
● Conduct exit formalities and clearance process
● Coordinate full and final settlement process
● Collect company assets during employee exit
● Conduct exit interviews
● Ensure proper handover of responsibilities
● Maintain exit records and reports
6. Office Administration Responsibilities
● Manage daily office operations and coordination
● Maintain office files, records, and documentation
● Coordinate with vendors and service providers
● Handle stationery, pantry, and office supplies management
● Support management in administrative work
● Maintain visitor records and office discipline
● Coordinate meetings and internal communications
● Ensure smooth functioning of office activities
7. Compliance & Documentation
● Maintain employee database and HR records
● Prepare HR reports for management review
● Ensure HR policy implementation
● Support audits and compliance documentation
● Maintain contracts, agreements, and employee files
● Update SOPs and HR policies as required
Required Skills
● Strong communication and interpersonal skills
● Good knowledge of recruitment and HR operations
● Strong coordination and follow-up ability
● Good command of MS Excel, Word, and Email communication
● Knowledge of HRONE/CRM systems preferred

Educational Qualification
● Bachelor’s Degree in Human Resources, Business Administration, or related field
● MBA in HR / PGDM in HR preferred
Experience Required
● 2 to 5 years of experience in HR operations and administration
● Experience in recruitment, onboarding, attendance, and exit management preferred
